Appointment booking by phone
In appointment booking by phone, an assistant offers a free slot during the call and enters the appointment directly in the calendar.
Also: phone scheduling, booking appointments by phone, AI appointment booking
The process has four steps: ask for the request and the preferred period, query free times in the calendar, offer an appointment and enter it after confirmation. Technically, the assistant calls the interface of the calendar for this. The decisive point is that the availability check and the booking take place on the server and not merely in the text of the conversation.
Rules have to be set before use: which appointment types exist, how long they last, what lead time applies, who has which calendar and which details are mandatory. Common sources of error are time zones, public holidays, double bookings from simultaneous calls and vague dates such as “next Friday”. Good assistants therefore repeat date and time before booking.
